Job Details:

Purpose

Provide exceptional customer service by greeting, directing, instructing, and assisting patients to assure efficient patient flow while maintaining HIPAA rules and regulations for the Imaging suite at UT Health Austin.

Responsibilities
  • Performs all imaging administrative duties, including checking in patients, ensuring completion of all necessary forms for registration and assisting patients when needed. Utilize EMR and RIS systems to ensure proper patient documentation and billing is complete

  • Notifies technologist patient is ready for exams and provides information to technologist on where patient goes after exam is completed

  • Schedules patients for Imaging exams performed in both HTB and HDB advanced Imaging. Ensures prior authorizations are complete as necessary for patients' imaging services prior to scheduling exams.

  • Communicates all pertinent information including delays in schedule or need for additional information to ordering providers and staff documenting all information in the electronic medical record. Assures that the Imaging suite is running smoothly and that patient flow is at the optimum.

  • Obtains medical record requests and makes phone calls to request medical records from outside providers. Download patient images from CDs into PACs. Download requested images onto CDs and work with HIM to mail discs to requestor. Adheres to federal and local confidentiality laws, including HIPAA, ensuring patient privacy.

  • Ensures an adequate stock of front office supplies and proper functioning of equipment. Answers telephone utilizing quality customer service skills. Ensures patient waiting area and restrooms are clean and reflect a positive image.

  • Participates in education programs and attends meetings as required. Participates in the orientation and/or training of newly hired personnel. Keeps track of incoming faxes and scans documents into EMR accordingly. Ensures demographic information is complete and accurate.

Required Qualifications

High school graduation or GED, and 3-5 years of experience as a Imaging scheduler/clerk or previous training in Office Administration in a clinical or healthcare setting; or Bachelor's degree and 3 years of experience as a Medical Secretary/Receptionist. Imaging receptionist/clerical skills and knowledge of medical terminology. Ability to multi-task and operate under high-pressure situations. Requires excellent verbal, listening and interpersonal skills. Must be able to deal with the public in a professional and courteous manner. Proficiency in Microsoft Word and Excel. Ability to type at least 35 wpm. Must, be highly disciplined, self-motivated, and able to prioritize effectively. Must have a high degree of concentration, organization, and accuracy. Must maintain own performance at a high level of proficiency with minimal supervision.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Previous experience in Imaging as a dedicated Imaging scheduler or clerk.

Previous experience with an EMR and RIS; Athena highly desired. Prior experience as a scheduler/clerk in a Medical Imaging setting. Bilingual in English and Spanish.

Salary Range

$40,000 + depending on qualifications
