Position Details

Emergency Hire - Temporary position lasting at most 90 days with an option of being extended to 180 days.

Position Summary
The Dean's Office Administrative Coordinator (ASC II) is responsible for the day-to-day operations of the Dean's office. The position serves as the receptionist of the Dean's office, provides administrative and clerical support, assists with purchasing and coordinates projects, events and activities while being cognizant of deadlines. The position requires a professional and dependable well-organized individual with initiative, good judgment and excellent interpersonal skills. The administrative work performed is usually operational and procedural in nature. Work is often project oriented involving the full scope of activities from planning, initiation, execution, coordination, implementation to evaluation. Interpersonal contacts are varied and often at the higher level and tend to involve a broad range of problem-solving activities. Responsibilities include the full scope of project activities including initiation, execution, coordination, implementation and evaluation.
FLSA: Non-Exempt

CSU Classification Salary Range: $3,865-$6,336 per month

Hiring Range/Rate: $3,865 - $4,200

Salary Grade/Range: Commensurate with candidate's education, experience, skills and training

Time Base: Full-time

Work Hours: Monday - Friday, 8 am - 5 pm; occasional weekends and evenings

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

  1. Experience performing clerical and/or administrative support duties in a busy office environment.

  3. Excellent interpersonal skills with the ability to effectively handle front-line contacts in a diverse environment.
  4. Excellent customer service.
  5. Expert knowledge of office systems and ability to use a broader range of technology, systems, and packages.
  6. Proficient in using standard office software such as Microsoft Outlook, Word, Excel, PowerPoint, Publisher and Access.
  7. Strong organizational skills with the ability to prioritize deadlines.
  8. Ability to maintain confidentiality and identify sensitive information.
  9. Ability to make independent decisions on day-to-day operations
  10. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related
  11. to work area.
  12. Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal
  13. situations.
  14. Ability to use negotiation and persuasion skills to achieve results and expedite projects
  15. Must be able to work during office hours.
  16. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

Preferred Qualifications

18. Two years of progressively responsible clerical and/or administrative experience

19. Knowledge of and/or experience using University systems software to include CMS/CFS (PeopleSoft) for requisitions, travel, visitor parking and student administration.

20. Ability to create announcements and flyers promoting meetings and events using appropriate computer hardware and software.
