West Virginia University Health Science Center is currently accepting applications for a (Hybrid) Senior Academic Advisor in the School of Medicine Health Professions

About the Opportunity

Serves as a member of the Advising Team whose primary responsibility is academic advising for all undergraduate Communication Sciences and Disorders (CSAD) and Respiratory Therapy (RT) students, and a population of Exercise Physiology students. This includes meeting with students regularly, maintaining degree works, assisting with New Student Orientation, and all other advising activities. Serves as the course schedule coordinator for all undergraduate and graduate programs within the WVU School of Medicine Health Professions department. As part of the team, this position is responsible for advising all undergraduate students in Health Professions and may be assigned other students and duties.

What you'll do:

ACADEMIC ADVISING:



  • Primary academic advisor for all CSAD, RT, and select EXPH students. This involves meeting with students prior to each registration period to assure students are taking correct degree pursuant coursework and staying on track to graduate. Counsels students/parents at all times during the term regarding registration, add/drop, and all graduation and registration pertinent information.
  • Primary advisor in matriculation planning for students in the programs. Involves setting forth matriculation and degree plans in DegreeWorks. Works to ensure the catalog entries that drive DegreeWorks are accurate and up to date.
  • Manages term PINS and all registration issues for all Health Professions. Responsible for ensuring all students are properly registered each term. This includes the proper courses and credit hours. Removes PINS so students can register after advising has occurred. Works with Registrar's Office to increase allowable registration hours each term for graduate students. Approves all online overrides for the programs for permitting students into restricted classes.
  • Responsible for approving transient course credit to be equated at WVU for current students taking classes at other colleges/universities. Translates the credit not in TESS to determine equivalent courses.
  • Serves as liaison and reference for CSAD and RT healthcare pathways majors.
  • Works with CPOS Coordinator to resolve all issues for before mentioned student populations.
  • Must be knowledgeable and able to advise all other Professional Program students. Additional permanent assignment of students is part of the advising responsibilities.


COURSE SCHEDULE COORDINATOR:



  • Serves as the coordinator for the course scheduling process for all Health Professions undergraduate and graduate programs.
  • Understands the intricacies of the CLSS system and enters schedule of course information into CLSS for each fall, spring, and summer semester. This includes understanding when deadlines occur, what changes can be made after deadlines have passed, what changes can occur after students have begun registering, and knowing the workflow of approvals when changes are made after stated deadlines.
  • Collaborates with faculty and chairs for all Health Professions programs to ensure that the schedule of courses for each fall, spring, and summer semester reflects accurate course offerings for their respective programs. This includes meeting with key stakeholders during the planning process to ensure the accuracy of course capacities, restrictions, dates, times, and locations.
  • Effectively communicates key deadlines and follows up to ensure that the course scheduling process is completed accurately and on time.
  • Serves as the liaison between the WVU central scheduling office and program chairs and faculty when course scheduling changes need to be made including changes to locations, dates, and times.


NEW STUDENT ORIENTATION:



  • Serves as a resource person and lead advisor for NSO for all programs
  • Attends all NSO meetings and translates and organizes the requirements/processes mandated by downtown NSO. These requirements change for each NSO
  • Meets with all programs in order to organize them for NSO. This involves creating procedures and processes that work for each department and for the overall unit.
  • Provides training for each department on new NSO procedures
  • Updates NSO advising guide and is responsible for training departments on advising changes that have taken place since the last NSO
  • Coordinates advising schedules for each department and ensures these schedules are communicated to downtown NSO
  • Trains and supervises the activities of our student NSO guides. This involves training them on our procedures and programs and managing them throughout the NSO process.
  • Serves as the customer service coordinator who interacts with all students and parents in order to resolve issues.


NOT REGISTERED STUDENT RETENTION PROGRAM:



  • Manages the Not Registered Student Retention Program for all undergraduate students. After each registration period in the fall and spring semesters, serves as the liaison with the University Not Registered Team.
  • Runs reports and works with our not registered students in order to promote enrollment for the next term. Manages the list of students until the end of registration for the upcoming term. This process runs year around.
  • Responsible for communication with not registered students via email, text message and phone calls. Informs students of any registration restrictions and works with the students to resolve any financial or academic restrictions that prevent registration. Serves as the advisor for students or refers them to other advisors as appropriate.
  • Serves as the liaison with our academic departments to resolve any department issues pertaining to registration.


Other:



  • Talks with prospective students and families and attends some in-house recruiting events.
  • Works on special projects as assigned.
  • Prepares reports for the Assistant Director and Assistant Dean as assigned.



Pay Grade: 16


Qualifications

  • Master's Degree in related field OR equivalent combination of education and experience:
  • A minimum of two (2) years of experience:

    • Higher education experience including academic advising
    • Customer service experience
    • Student Information System experience including BANNER


  • Excellent oral and written communication skills. This person represents several programs and the University and must be able to establish rapport with several different groups including students, parents, faculty, administrators and staff.
  • Must exhibit professional behavior and demeanor at all times.
  • Demonstrated ability to organize, manage and complete multiple tasks at the same time. This position encompasses several areas of responsibility that all must be organized so that work can be completed timely and accurately.
  • Demonstrated ability to analyze and resolve problems independently.
  • Ability to self-start and prioritize work. Must perform all duties accurately and in a timely manner. Must learn quickly with minimal assistance.
  • Knowledge of STAR/BANNER including DegreeWorks, BDMS, Target X.
