Versatile Coordinator - Seasonal

Description

The Versatile Coordinator is responsible for assisting with the planning and delivery of assigned programs within the Envision by WorldStrides portfolio. The Versatile Coordinator will work remotely and/or out of our office in Vienna, VA (housing not provided) prior to the start of programs in the summer. Starting at the end of May they will assist with training and travel to support in-session programs as needed. Versatile Coordinators will work with staff and vendors to ensure all program needs are met. They will also work with the Education Lead and Program Lead to manage the academic, logistical, and customer service program components respectively. Versatile Coordinators report directly to an assigned Program/Senior Manager.

Business Administration



  • Available to travel and support Lead roles during program sessions, as needed
  • Communicates with staff and tracks staff requirements prior to training (including but not limited to onboarding requirements, staff travel, Health & Safety paperwork, eLearning completions)
  • Manages program-specific submissions (e.g. collecting site visit waivers)
  • Supports with ordering, shipping, and receiving of supplies
  • Assists with updating bus schedules, if applicable
  • Assists in planning calls with venues and vendors
  • Assists with leading training segments for members of seasonal teams
  • Supports with the creation of rooming lists and communicates changes to venues
  • Monitors all tracking of customer communication and completes all needed documentation
  • Ensures all needs for special guests on-site at programs are met (i.e. parking passes, audio visual), if applicable
  • Maintains emergency telephone number and 24-hour availability at all times while Program is in session
  • Meets with senior leadership team daily and provide notes to Manager in conjunction with Co-Leads, if applicable
  • Meets with Co-Leads Daily to complete Nightly Report, if applicable


Staff Management (as applicable)



  • Supports Leads and supervises field staff
  • Facilitates daily meetings with field staff
  • Observes staff and provide feedback at regular intervals
  • Supports with tracking and submission of staff timesheets
  • Assists with leading training segments for members of seasonal teams


Finance



  • Supports per diem and program expenditure distribution and reconciliation
  • Utilizes and reconciles credit cards according to company policy (if applicable)


Home Office Communication



  • Submits necessary documents for Program Operations team in relation to upcoming sessions in accordance with prescribed deadlines
  • Supports with post-session paperwork filing and Lost and Found
  • Maintains emergency number and 24-hour availability during program session
  • Updates Dynamics system with parent and scholar interactions
  • Carries all required crisis emergency materials
  • Follows Envision policies and procedures
  • Ensures the safety, security, and accoutability of students at all times


Health & Safety Responsibilities



  • Clean and sanitize equipment and spaces
  • Perform temperature checks
  • Be around large groups
  • Wear a face mask and any other PPE as required while performing all duties throughout your assigned workday
  • Model best practices for staying healthy throughout the program
  • Enforce health and safety guidelines among scholars and staff
  • Responsibilities and requirements for this role may adapt and adjust with any new Local/State/Federal/Venue guidelines as well as recommendations and requirements from the Center for Disease Control and Prevention (CDC) for General Health & Safety.


Position Qualifications:



  • Degrees and Certifications

    • Bachelor's level education or current student; Master's or higher (preferred)


  • Skills and Knowledge

    • Remarkably strong, professional communication skills
    • Organized and detail-oriented with ability to prioritize and work on various projects simultaneously
    • Collaborative; able to work with anyone across teams to solve challenges
    • Willing to work extended days and hours as directed by program needs
    • Must be able to bend and lift boxes up to 50 lbs. in addition to walking various distances on college campuses
    • Ability to exercise good judgment and solve problems
    • Maturity and professionalism
    • Excellent communication and customer service skills
    • Strong leadership skills
    • Ability to set expectations for and enforce appropriate student behavior


  • Experience

    • 1 - 2 years professional experience
    • At least one year of managerial, event planning or experiential education (preferred)


  • Candidate must be fully vaccinated (and boosted if eligible) prior to start date

Successful Candidates
