About the Administrative Services Center
The Administrative Services Center (ASC) is a deliverable of the AdminX initiative. The ASC partners with local and central units to provide efficient and consistent support for administrative operations across the Institute. The ASC will serve as the front door for all HR inquiries and transaction initiation.

The ASC delivers the following HR services across the Institute:
Hiring (all employee types)
Foreign National Processing & International Assignments
Employee data management (workforce administration)

Job Summary

Provide administrative support to a unit's information technology (IT) organization to include purchasing, inventory records, licensing, budgets and help desk coordination. This position will interact on a consistent basis with: unit and IT management and staff. This position typically will advise and counsel: unit and IT management. This position will supervise: NA.

Responsibilities

Job Duty 1 -
Coordinate purchases of IT hardware and software including processing of associated purchase orders and delivery.

Job Duty 2 -
Maintain inventory records of unit IT hardware and software.

Job Duty 3 -
Track software licenses and renewals; maintain related records.

Job Duty 4 -
Coordinate request for IT services between unit users and technical staff.

Job Duty 5 -
Prepare and update budgets and other IT related reports and records.

Job Duty 6 -
Perform other duties as assigned

Responsibilities

  • Inventory Management: Maintaining an accurate inventory of all IT assets, including details such as location, specifications, warranties, and licensing information. Lead annual inventory audit and location reconciliation. Act as primary Property Coordinator for department. Acts as primary contact for tagging and logging newly purchased capital and IT, AV asset
  • Documentation: Maintaining documentation related to IT assets, including purchase orders, invoices, licenses, warranties, and disposal records.
  • License Compliance: Ensuring compliance with software licensing agreements and managing software licenses to avoid overages or non-compliance issues.
  • Procurement: Identifying IT asset requirements and purchasing necessary hardware, software, and licenses.
Required Qualifications

Educational Requirements
Bachelor's Degree in Business Administration or related field or equivalent combination of education and experience

Required Experience
Four to five years of job related experience

Preferred Qualifications

  • Candidate should be detail-oriented and able to work independently.
  • Understanding of technology life cycles and refresh processes
  • Experience with asset procurement and licensing preferred
  • Previous experience with asset management tools and software a major plus
Proposed Salary

Purposed Salary Range: $49,000 - $55,000

Hybrid Work Schedule: The expected schedule for this position will be at least 80% onsite due to the facilities-centric nature of the role. During training and high-volume periods, the role will likely be 100% onsite.

Knowledge, Skills, & Abilities

SKILLS
This job requires knowledge of accounting principles and practices as they relate to inventory management and asset records. Also required are skills in customer service, a general knowledge of IT functionality within a unit as well as use of general business and accounting related computer applications.
