SSP America is seeking an efficient and detailed oriented Executive Assistant to join our team! You will be responsible for providing high-level administrative support for the Vice President, People, and the Vice President, Brand Strategy and Communications.
- Reports in-office 5 days per week in Ashburn, VA
Key Responsibilities Brand Strategy and Communications Team
- Handles requests from managers to fulfill a range of collateral requests, including business cards, fliers, and more.
- Maintains media and other public relations databases.
- Participate in event planning efforts for annual meetings, grand openings events, and more. Tasks include scheduling meetings, creating agendas, booking travel, traveling to events, providing onsite support, and coordinating credentials.
- Acts as part of the social media team and will attend weekly meetings, schedule interviews with various stakeholders, and coordinate photography.
- Stores photographs from new shoots, handles headshot photo shoots, manages overall photography library, updates office monitors, and fulfills photography requests from internal teams, media, and other stakeholders.
- Supports the team in coordinating the departmental budget, including processing departmental invoices, reconciling monthly expenditures, and setting up new vendors.
People Team
- Takes meeting minutes and sends out reminders.
- Maintains HR Shared folder and team channels and the People Team SharePoint site.
- Works collaboratively with the team to coordinate award applications, including photography selection, editing copy, and submitting applications.
- Supports the team in coordinating the departmental budget, including processing departmental invoices, reconciling monthly expenditures, and setting up new vendors and wire transfers.
- Assist in monthly orientation - including setting up the meeting, coordinating the schedule of presentations, agenda, etc.
- Create presentations, memos, flyers, send out birthday cards, thank you cards, etc.
- Responsible for engagement calendar upkeep.
Qualifications
- High School diploma/certificate required.
- Minimum of 2 years+ experience delivering results in a similar corporate support position, supporting senior management members, preferably in the hospitality, food service/food and beverage or airport industry.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite, Adobe Works tools
- Ability to work independently and as part of a team.
- Familiarity with social media platforms, tech savvy is a plus.
