West Virginia University Health Science Center is currently accepting applications for a (Hybrid) Program Assistant III in Human Performance

About the Opportunity

The position will assist in coordinating and operationalizing various projects/initiates related to the Physician Assistant Studies Program, and the Respiratory Therapy Program goals and objectives for the students. This position will work closely with the Physician Assistant Studies Faculty, Respiratory Therapy Faculty, and Administrative Director to provide an efficient and service-oriented infrastructure for the academic, research, public service, and the missions of the programs. This position will report to the Administrative Director.

What you'll do:



  • Provides administrative support to the Program Director, and other Faculty within the Physician Assistant Studies Program, and Respiratory Therapy Program.
  • Maintain data and prepare reports for assessment
  • Participate in preparation of accreditation documents, organization of site visits, scheduling and organizing program advisory board meetings/activities, and distribution/collection of annual CoARC (respiratory therapy) accreditation survey instruments.
  • Provides support for teaching that includes:

    • Gathering materials, organization, managing exams and evaluations
    • Proctoring Exams
    • Organization of Continuing Education courses
    • Room Scheduling - including room access processes


  • Uses eValue to schedule Course and Instructor evaluations each semester and follows up with preceptors for completed evaluations in the Physician Assistant Studies Program.
  • Assist with scheduling/communication with students of Callback Days and End of Rotation Exams for the Physician Assistant Studies Program.
  • Update preceptor evaluation scores in shared spreadsheet
  • Assist Clinical Education Director with administrative duties, and email/phone communication with clinical rotation sites for both the Physician Assistant Studies, and the Respiratory Therapy Programs.
  • Enters student data into MyClinicalExchange, eValue, and other web applications as needed for the Physician Assistant Studies Program.
  • Schedules student academic advising session with faculty each semester
  • Assist faculty in SOLE with uploading materials, proctoring tests, checking grades, etc.
  • Secure housing for students on rural rotations through ICRH Tracker Application for Physician Assistant Studies Program.
  • Monitor student progress in courses and provide periodic updates to PA faculty via a shared spreadsheet
  • Monitor operations budget and provide feedback to Divisional Leadership for both Physician Assistant Studies and Respiratory Therapy Programs
  • Events planning - social, teaching, recruiting, and retreats for Physician Assistant Studies, and Respiratory Therapy Programs
  • Ordering of supplies for Physician Assistant Studies, and Respiratory Therapy Programs
  • Organizes faculty travel for Physician Assistant Studies, and Respiratory Therapy Programs.
  • Answering phone calls, taking messages, and giving direction accordingly
  • Inventory of equipment and supplies for Physician Assistant Studies, and Respiratory Therapy Programs.
  • Picking up and distributing mail and packages on a daily basis
  • Support services for Departmental Meetings and Faculty Committees
  • Maintain faculty calendars for Programs
  • Pcard purchases and reconciliation within MyExpenses for Physician Assistant Studies, and Respiratory Therapy Programs
  • Organize and tabulate CoARC Program Resource Surveys, CoARC Student Resource Surveys, CoARC Graduate Surveys, and CoARC Employer Surveys
  • Assist the RT staff in the development of a dedicated respiratory therapy SOLE site for student communication
  • Assist the RT staff in the development of a dedicated respiratory therapy SOLE site for student communication
  • Answers admission questions for potential students/parents about the Program (prerequisites, deadlines, etc.) via phone and Vanity email account for Physician Assistant Studies, and Respiratory Therapy Programs.
  • Performs other duties as assigned by Program Director, and Administrative Director


Pay Grade: 15

Qualifications

  • Associate's degree in related field OR equivalent combination of education and experience.
  • A minimum of two (2) years of experience:

    • Administrative/Executive Secretary Experience
    • General Accounting Experience
    • Excellent Typing Skills
    • Microsoft Office


  • Superb organizational skills
  • Advanced language talent (spelling, grammar, etc.)
  • Excellent personnel management ability
  • Superior typing dexterity,
  • Outstanding computer aptitude, (including word processing, presentation software, spreadsheets, photo editing, flow charts, etc);
  • Exceptional office management capacity; professional interaction adeptness, including ability to communicate with multiple personalities and cultures; patience and tolerance.
  • Use of computer on a daily basis. Will be using databases, spreadsheets, word processing, presentation software, and e-mail.
