The Clinical Trials Management System Operations Office is a centralized resource housed within the UC Davis Clinical and Translational Science Center. The goal of the office is to facilitate and coordinate clinical research within OnCore, the institution's clinical trial management system (CTMS). OnCore is designed to manage complex workflows, specifications, budgets, and subject management related to clinical trial research. The Operations Office provides centralized CTMS services to UC Davis Health clinical investigators and research staff.

The Research Administrator III works under the direction of the CTMS OPS manager and closely with CTMS Ops Director and staff from departments throughout UCDH, and personnel from other research institutions and private industry. The incumbent plays a critical role in the independent performance of compliance, technical, fiscal and administrative services required to support clinical trials. The CTMS Operations Office uses OnCore to manage clinical research trials/studies. The Research Administrator III will be primarily responsible for creating detailed study calendars in OnCore following the protocol guidelines. The calendar is used to manage a variety of research activities, such as billing compliance, study budgets, visit/event tracking, electronic data capture, creating financial milestones and invoices, and tracking payments received. The incumbent will manage new protocols and amendments and ensure end-user requests are handled in a timely and professional manner. This may require meeting with UCDH faculty and staff to ensure the research study activities are reflected accurately in the system and explain any system setting that may impact the system study calendar configuration.

The Research Administrator III applies acquired skills and professional clinical applications and operates independently within a defined scope of responsibilities. The incumbent promotes ethical and proper behavior in all matters related to CTMS business operations and maintains effective controls that promote adherence to applicable laws, regulations, rules and guidelines regarding Federal, State and Private health services in the performance of clinical research.

Minimum Qualifications

  • Experience with clinical trial management systems, preferably OnCore
  • Demonstrated knowledge and experience with administration of complex clinical trials
  • Experience comprehending and interpreting scientific and medical literature for utilization in assessment of appropriate billing policy
  • Extensive technical knowledge of State and Federal regulations, procedures, and policies regarding clinical research billing and coding policy and applicable CMS Local and National Coverage Decisions
  • Excellent research and investigative skills with a high degree of accuracy and attention to detail
  • Advanced skills and experience to independently manage the review of study protocols, while working effectively in a team environment
  • Possess advanced working knowledge of federal and state regulations, GCP guidelines, HIPAA, institutional policies, and SOPs for conduct of human research in an academic environment
  • Proficient with medical terminology at a college level with the ability to understand disease processes, anatomy, and physiology necessary for comprehension of study protocols and for communicating with investigators in various departments/divisions throughout UCDH

Preferred Qualifications

  • Certification by the Society of Clinical Research Associates (SoCRA) or the Association of Clinical Research Professionals (ACRP)
  • Bachelor's degree with a minimum of 3 years' experience in clinical research
  • Possess knowledge of UCDH Clinical Research Standard Operating Procedures (SOPs), and UCDH Policies and Procedures for Research
