Job Description:

We are looking for an energetic, reliable, and detail-oriented Senior Administrative Assistant to join the Risk Organization. In this role you will be responsible to support multiple Senior Leaders and perform a wide variety of administrative duties. The ideal candidate will be self-motivated, collaborative, think proactively, and be able to manage their workload and thrive in a fast-paced environment.

Primary Responsibilities:

  • Communicate professionally and confidently with Senior Management and Executives.

  • Approach challenges with a positive and solutions-minded perspective.

  • Organize, manage and analyze multiple calendars and domestic and international.

  • Thrive on advancing your skills and knowledge and seek out opportunities for self-learning.

  • Embrace new technology and help identify opportunities to utilize technology.

  • Able to anticipate the needs of those calendars which the role supports. Take pride in thinking one step ahead for the people you work with, solving needs before they even arise in their minds.

  • Manage and coordinate meetings, activities and communications on behalf of Senior Leaders with complex calendars.

  • Partner with administrative teams across the organization on various projects.

  • Serve as a partner and advisor for internal Executive Assistant community.

  • On board new employees and contractors to ensure they have proper set up day 1 (network access, cube, phone, badges, office supplies)

  • If and when travel reviewed support with travel arrangements/bookings for both international and domestic travel

  • Assist with meeting management

  • Manage the shared calendar for the Risk Organization in collaboration with the EA, Risk team for broader meetings with a larger audience

  • Assists with employee expense reports and invoices monthly in a timely manner

  • Works closely and in partnership with other Administrative Assistant as a backup or during times of work overflow

  • Support leadership with deadlines for Chief Risk Officer, Executive Committee, Board, etc.

Skills and Requirements:

  • 10+ years' experience working in a previous Administrative Assistant or Executive Assistant role

  • High sense of urgency with an innate drive to respond and take action quickly

  • A service-oriented mindset, including anticipating all needs and last-minute scheduling changes

  • Approachable, friendly demeanor in dealing with executives and employees

  • Strong work ethic; reliable, dependable, and operate with uncompromising integrity

  • Excellent customer service skills, professional attendance criteria, must be able to use professional work skills, discretion and good judgment at all times

  • High attention to detail, professional phone etiquette skills, ability to work with well-established team, and team player

  • Strong organizational and filing skills, excellent verbal and written communication skills a must

  • Ability to administer a wide range of support for the department managers and team members

  • This will require acute attention to detail and the management and ability of multi-tasking, self-motivation and problem solving

  • Ability to handle sensitive/confidential information requiring a high level of discretion, ability to balance multiple priorities and meet deadlines

  • Degree Preferred or equivalent


Base Pay:

$63,328.00 - $105,359.00

Actual starting base pay will be determined on skills, experience, and other non-discriminatory factors permitted by law. Total compensation may also include variable incentives, bonuses, benefits, and/or other perks, as outlined in any formal offer made.
