Job Description

Reporting to the Executive Assistant to the CEO, this Administrative Assistantwill provide direct assistance to the Office of the Chairman and CEO. Responsibilities include administrative support (calendaring, processing expenses, coordinating travel), and operational support.

This is an ideal position for an individual with an administrative and planning background, looking to develop their capabilities, working in a dynamic, fast-paced environment. The role is based in Visa's New York office.

This is a hybrid position. Hybrid employees can alternate time between both remote and office. This role's time in office will be dependent on the Chairman and CEO's schedule.

Job Scope
This is an individual contributor role with a primary focus on team support, while also responsible for the ownership and execution of specific tasks. It is at a developing professional level and receives a moderate level of guidance and supervision.

Administrative Responsibilities

  • Calendar Management: Assist and provide backup in the management of the senior executive's calendar including scheduling meetings, setting up conference calls and arranging travel.

  • Logistical Coordination: Plan, manage and provide backup on logistics related to executive travel and executive/team meetings and events (onsite and offsite.

  • Expense Management: Process expense reports on behalf of the executive and broader department.

  • Liaison: Communicate with a broad range of Visa professionals on behalf of the department. Partner with other administrative team members and provide backup support for senior executives as needed.

  • Assist with developing and updating PowerPoint presentations, Excel spreadsheets and other related materials as needed.

  • Ordering meals for meetings and coordinating set up.

  • Printing documents for execs

  • Ensuring security team has hotels when traveling with the CEO

  • Reserving conference rooms for various meetings

  • Scanning incoming mail and ensuring distribution to appropriate parties

  • Ownership of Executive Travel Calendar and weekly distribution

  • Taking meeting attendance for weekly/monthly meetings

  • Maintaining/Updating CEOs contacts and holiday card lists

  • Coordinating mailing of holiday cards

  • Ordering flowers, gifts as needed

  • Running external errands as needed

Qualifications

Basic Qualifications
2 or more years of work experience with a Bachelor's Degree or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD).

Preferred Qualifications
* Bachelor's Degree with 2+ years working in an administrative role supporting senior leaders
* Team player with a positive, can-do attitude
* Highly organized with strong multi-tasking skills
* Attentive to detail
* Strong communication skills
* Ability to work in a dynamic and fast-paced environment where assignments change daily and are time sensitive
* Able to work well under pressure
* Self-starter who is resourceful and can think outside the box
* Can exercise exceptional judgment and discretion regarding information which may be confidential, material and/or non-public
* Has a sense of humor

Skills
* Superior communications skills (verbal and written)
* Proficiency in Microsoft -- especially Outlook, Word, PowerPoint and Excel (all applicants subject to Microsoft skills testing)

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.
