Overview

The American College of Obstetricians and Gynecologists (ACOG), a membership organization dedicated to the advancement of women's health care in Washington, DC, is currently seeking a Program Coordinator, Product Management.

The Program Coordinator, Product Management assists division staff in day-to-day administrative operations. Supports the publications, permissions, editorial, and production process by assisting in activities to achieve deliverables and project objectives. Supports the division with project planning, invoice management, scheduling, and other activities.

Responsibilities

    Support the efforts of the team by collaborating with division staff.
  • Perform division's administrative duties, including responding to phone and email inquiries, processing daily mail and coordinating special mailing and distributions, procuring supplies and reference materials.
  • Assist in the planning of virtual and in person meetings and schedule meetings as needed. Send calendar invitations and process reimbursements.
  • Provide administrative and logistical support for conference bookstores.
  • Manage the publications permissions process, including requesting and obtaining reprint permissions/licenses for text and images.
  • Maintain tracking sheet of requests received, approved, or denied and requesting and processing invoices.
  • Maintain invoicing system for projects, including tracking, recording, and communication with Finance departments internally and externally to ACOG.
  • Provide support and regular status reports to editors or other internal stakeholders.
  • Support the coordination of and contract management for clinical and consumer content licensing partnerships.
  • Register ACOG publications with the U.S. Copyright Office.
  • Manages electronic files and tracking systems to ensure compliances with ACOG policies and best practices.
  • Perform other duties as assigned.


Qualifications

  • High School Diploma required. Bachelor's degree in English, journalism, or another liberal arts field preferred
  • Minimum of 1 year of experience in an office support setting.
  • Strong interpersonal and communication skills, both verbal and in writing.
  • Strong attention to detail.
  • Website content management experience or other social media experience preferred.
  • Finance experience or understanding of billing practicespreferred.
  • Knowledge of U.S. copyright law and experience managing permissions preferred.
  • Ability to work cooperatively in a team-oriented approach with medical and publishing professionals.
  • Ability to work independently with minimal supervision; detail-oriented and well-organized.
  • Advanced administrative experience, including computer skills and knowledge of Microsoft Office suite (Word, Excel, Outlook, and PowerPoint) and Adobe Acrobat.
