Position Summary
The Grants Accountant will work with the Director of Sponsored Research and Programs and the Controller on the management of post-award financial activities for both public and private grants. This position will also collaborate with faculty and staff serving as Principal Investigators (PIs) on sponsored projects and staff in other relevant offices (e.g., Human Resources, Financial Aid). The Grants Accountant will specifically oversee all sponsored project accounts and performs the activities necessary for the proper recording, processing, accounting, reconciling, and reporting of grant funds. The position will provide a continuum of support across the lifecycle of an award, beginning with account set up and ending with close out of grant award. This position has the potential to work remote, but must be an Illinois resident.
Description of Key Responsibilities
Note that all functions described below must be performed, and it is normally the responsibility of the individual in this position to perform them and/or see that they are performed.

* Set up new grant accounts and enter grant budgets into system
* Train faculty and staff PIs on their responsibilities for budget and project management at the onset of a new award and provide assistance with requests and inquires to funders such as budget reallocations
* Monitor grant expenditures to ensure charges are consistent with institutional policies and in compliance with funding agency and federal regulations (i.e., Uniform Guidance)
* Work with PIs to set up a system for regular account reconciliation and completion of required financial reports to granting agencies/organizations
* Collaborate with the Office of Human Resources to set up course buyouts and also manage the time and effort certification process three times each year (summer, fall semester, spring semester)
* Create invoices and reimbursement requests from funders and draw funds down from federal award systems
* Manage grant closeout and conduct an annual review of all grant accounts
* Allocate indirect cost recoveries per the College's policy
* Maintain and organize the institution's financial grant documents in case of audit
* Assist PIs in the management of subawards and submission of invoices and reports to primary grant recipient on required schedule
* Assist with the creation and updating of post-award policies and procedures to provide guidance and structure around award management

Required Knowledge, Skills and Abilities
An individual in this position must possess the proficiency, wherewithal and knowledge of principles and processes for providing high-quality service to both internal and external constituents of the College.

  3. Collect, evaluate, and analyze data relating to account functions
  4. Demonstrate strong analytical and problem-solving abilities
  5. Proficiency with Microsoft application, namely Excel and Word

Education/Training
Bachelor's degree in accounting (or related field) or Associate's degree with equivalent experience in accounting required. Must reside in Illinois.
Experience
A minimum of 3 years of experience in grant accounting with public and private funding sources. Higher education experience is highly preferred. Knowledge of Ellucian's financial management system preferred but not required.
