SBA Coordinator and Administrative Assistant
The George Mason University, Antonin Scalia Law School, is seeking an organized team player to provide reliable and professional administrative support for the Student Government and student organizations of the Law School, as well as the Administration Suite. Providing responsive, professional, enthusiastic, and reliable support to all area constituencies is crucial. This position will report to the Executive Assistant to the Dean and Administrative Support Manager.

Responsibilities:

SBA Coordinator will work closely with the Executive Board of the Student Bar Association in the planning, directing, and coordinating of different services that enable the SBA and its student organizations to operate in an independent, efficient, and compliant manner.

Duties include:

  • Serving as administrator to the SBA and related student organizations, providing general administrative, bookkeeping, and logistical support for student activities and organizations;
  • Maintaining administrative policies and procedures required for operation of the SBA;
  • Ensuring all accounting records and controls are established and adhered to in accordance with policies and procedures of the university and providing regular financial reports/accountings;
  • Providing general budget oversight, including assembling data, reviewing budgets, monitoring and reconciling income and expenditures, and ensuring that expenses are within budget limits;
  • Providing logistical support for events including approving event dates, reserving space, coordinating event set up and related services (housekeeping, university police support, etc.); and
  • Maintaining good working relationships with supervisors of other Law School and University departments to ensure appropriate information sharing.


Administrative Assistant will provide administrative assistance within the Dean's Suite and front desk support for the law school.

Duties include:
Room Reservations and Classroom Bookings:

  • Monitor the Mason Law Room Reservation email account;
  • Use 25Live, the university-wide event and academic scheduling system, to reserve space in the law school; and
  • Interact with Arlington Events Management and the law school's Academic Administration Coordinator and Centers, as necessary, when scheduling events.

Administrative Support for Senior Associate Dean and other administrative suite members, including, but not limited to:

  • Processing vendor invoices; preparing payment vouchers/requests for same; creating eVA requisitions;
  • Submitting work orders;
  • Updating lists of professors for VBA, ABA, and AALS directories;
  • Using University purchasing card (p-Card), as appropriate, for expenses;
  • Special projects, as assigned; and
  • Back-up to Dean's Executive Assistant.

Provide support to the law school's Event Coordinator:

  • Assisting with invitations: creating, tracking, etc., using EventBrite and Paperless Post;
  • Preparing name tags, table tents, etc., for events;
  • Assisting at events, as needed: room set-up, check-in, etc.; and
  • Processing vendor invoices.

Administration Suite Reception:

  • Promptly, cheerfully, and courteously greet all visitors, appropriately directing them;
  • Answer and appropriately direct phone calls and emails, providing helpful information to internal and external constituents;
  • Accept and deliver packages;
  • Maintain Law School phone directory, updating monthly for internal distribution, working with HR to determine personnel changes; and
  • Sort mail for Dean's Suite.

Required Qualifications:

  • Experience providing administrative support;
  • Proficiency using e-mail (Outlook), internet, Microsoft Office Suite (Word, Excel, PowerPoint), and Adobe; willingness to learn new software programs, as needed;
  • Familiarity with financial record-keeping and reporting;
  • Demonstrated exceptional written and oral communication skills;
  • Prior experience supporting multiple people and handling multiple tasks simultaneously;
  • Ability to work effectively within a team and relate well to faculty and staff at all levels of the University;
  • Working knowledge of standard office equipment;
  • Discretion and ability to handle sensitive and/or confidential information; and
  • Professional demeanor and presentation; well organized, self-starter with good interpersonal skills.

Preferred Qualifications:

  • A bachelor's degree; or a combination of education and administrative assistant work experience; and
  • Experience working in higher education or significant university involvement while in a degree seeking program.
