ABOUT THE POSITION

Although we're an apparel and footwear-focused company, technology is central to everything we do. Columbia Sportswear's Digital Technology (CDT) group enables an IT infrastructure across four global brands, a global supply chain, and 500+ geographically dispersed stores. These teams support in-store, mobile, and data platforms to enhance customer interface and service in an ever-evolving industry.

Columbia is looking for a Senior Administrative Assistant to provide confidential administrative support to two VPs of CDT - VP, Supply Chain Technologies and VP, Quality and Operations Technologies. This role will be vital in handling a broad scope of confidential and proprietary information, managing routine office matters for executive management members, and working on special projects as assigned.

HOWYOU'LLMAKE A DIFFERENCE

  • Provides analytical and specialized administrative support to VP, Supply Chain Technologies and VP, Quality and Operations Technologies. Performs critical and confidential administrative duties and coordinates the production of correspondence and work projects for above executives.
  • Schedules meetings and coordinates calendars. Keeps Outlook and contact lists updated and synced to always ensure efficiency and access for the leaders.
  • Coordinates onsite and offsite meetings (large and small) including attendees, facility, equipment needs, catering, etc.
  • Screens incoming communications and messaging to best assist and coordinate meetings, calls, and in person appointments. Evaluates the relative importance of each and handles appropriately.
  • Attends and takes minutes for various meetings - for distribution and record keeping. Maintains follow-up on actions required.
  • Coordinates travel arrangements, hotel and car accommodations, and planning of itineraries.
  • Enters expense reports in a timely manner for leadership team.
  • Maintains positive open lines of communication with all Columbia Sportswear management, staff and other departments in order to contribute to the smooth flow of information and efficient operation of the organization.
  • Develops office procedures, as necessary.
  • Assists and collaborates with other Executive Assistants on an as needed basis.
  • Performs other related duties as assigned.

YOU ARE

  • Well versed in customer service, inter-personal, and verbal/written communication.
  • Able to work independently and cooperatively in a diverse group.
  • A highly motivated self-starter and can work with minimum supervision.
  • Skilled in solving problems, making decisions, operating independently and with discretion, and working effectively under pressure.
  • Able to use the telephone, computer hardware/software including keyboard, type, sit and stand for extended periods of time.
  • Able to read, write, and speak English.

YOUHAVE

  • Minimum of three years experience in an Administrative Assistant position
  • Experience supporting multiple executives concurrently
  • Associate's degree in business or related area preferred
  • Handled critical and confidential material always necessitating discretion
  • A demonstrated history of excellent organizational skills, ability to maintain confidentiality, ability to prioritize many tasks and complete tasks with accuracy and efficiency
  • Ability to work under limited supervision and exercise independent judgment
  • Strong problem-solving skills including experience providing solutions to problems in situations that are atypical or occur infrequently based on existing precedents or procedures
  • Handled tasks that require some judgment. May adapt several procedures, processes, and tools to resolve issues
  • Proficient skills using MS Office (Word, Excel, PowerPoint and Outlook)
  • Strong organizational skills
