About the Job

Position Overview:
The School of Math Undergraduate Curriculum Manager (job code 8461 MD) provides administrative and student services support to the undergraduate programs in the School of Mathematics, one of the university's largest departments serving more than 7000 undergraduates annually. This position will manage the day-to-day operations of the undergraduate curriculum and assist the Director of Undergraduate Studies and Undergraduate Student Services Manager with strategic curricular planning and instructional review. This position will also assist with undergraduate recruitment and communicate with prospective mathematics majors.

Responsibilities
Department Curriculum and Course Scheduling (75%)

  • Lead the course scheduling process, determining course times and locations, liaising with the Office of Classroom Management (OCM) and Office of Undergraduate Education (OUE) to secure classrooms for all departmental course offerings. Proactively collaborate with the Director of Undergraduate Studies, Undergraduate Student Services Manager, and OCM to resolve scheduling conflicts that arise amongst the department's 350+ courses each semester.
  • Serve as departmental CourseDog administrator. Edit course information and manage proposals for new courses in Coursedog. Enter course information into Peoplesoft and Coursedog as needed.
  • Independently manage departmental textbook acquisition and distribution. Obtain textbook requirements from course instructors and maintain accurate records of all textbooks in use. Collaborate with University Bookstore to order all required textbooks and organize Inclusive Access. Manage loans and returns of textbook library.
  • Oversee internal waitlist for closed courses, monitor enrollment trends, and suggest opening/canceling sections of courses as needed. Enter course permissions, verifying student completion of prerequisites, as necessary.
  • Organize Fall and Spring Common Final exams by scheduling exam rooms for 4000+ students, making and distribution proctoring assignments, and arranging collection and photocopying of exams. Coordinate pick-up and drop-off of exams on Common Finals day.
  • Assist students with Final exam conflicts and DRC requests.

Undergraduate Academic Program Support (15%)

  • Support the annual instructional review process by tracking timelines, maintaining records, and scheduling classroom observations.
  • Manage, collect, and maintain archive of course syllabi
  • Utilize available course enrollment data, SRT evaluations, grade rosters, etc. to create reports and assist the undergraduate department with curriculum planning and review.
  • Act as a liaison between CLA and CSE to ensure that the BS and BA programs are properly served by the department.
  • Provide administrative support to the Undergraduate Curriculum Committee

Undergraduate Recruitment and Event Support (10%)

  • Assist the Undergraduate Advisor with departmental recruiting efforts
  • Assist with planning and execution of the annual department commencement ceremony
  • Serve as department representative at College recruiting events for prospective and current students
  • Lead operational support and administrative planning
  • Complete additional projects and work as assigned
Qualifications

Required Qualifications:

  • BA/BS degree, or a combination of education and relevant experience to equal at least four years.

Preferred Qualifications:

  • Proficiency with Google Workspace (Sheets, Docs, Gmail, etc.)
  • Familiarity with PeopleSoft, Coursedog, and APLUS
  • Demonstrated ability to execute complex scheduling projects
  • College recruitment or advising experience

The School of Mathematics, located in the heart of the College of Science and Engineering, has about sixty faculty covering essentially all areas of mathematics. The School has a long history of interdisciplinary research, but is equally strong in the core areas of mathematics. Students have opportunities to participate in programs at the Institute for Mathematics and its Applications, the Minnesota Center for Financial and Actuarial Mathematics, the Minnesota Center for Industrial and Applied Mathematics, and the School of Mathematics Center for Educational Programs.
